Copying a dataset in Budget Utilities

In Budgeting, you typically copy a dataset to create a new instance of existing budget lines in the dataset for the accounting year with which you are working. You can copy one full dataset (from periods 1 to 12), or you can add multiple datasets and specify the accounting periods from each dataset. For example, if you are creating a budget for next year, you might want to use this year's Budget from periods 1 to 4, last year's 30/60/90 from periods 5 to 7, and this year's End of Year Forecast from periods 8 to 12. In this example, you are building your new dataset from periods of multiple datasets.

Copying a dataset creates an exact copy of the dataset (or the selected periods in a copied dataset) so that you do not have to manually reconfigure all budget line items. 

  1. In the upper-left corner of the screen, select Access your applications ( main menu icon ).
    The menu expands.

  2. Select FinancialBudgeting.
    The Budgeting Dashboard screen appears.

  1. In the Budgeting menu pane, select Budget Utilities (  icon  ) > Copy Dataset.
    The Copy Dataset dialog box appears.

  2. Select your source dataset(s).

    1. In the Year & Dataset field, select the year and dataset from which to copy data.

    2. In the Period Range field, select the financial period range for the dataset from which you are copying data.

    3. Select Add.
      Your dataset and period range are added in the Source Dataset(s) section.

    4. To add another dataset and period range, repeat the steps above.

    5. To remove a dataset and period range, select Delete (  button ).

      Note: You must select one or more source datasets so that data is copied for all financial periods in the fiscal year.

  3. Select your destination dataset:

    1. In the Selected Dataset field, select the year and dataset to which the data will be copied.
    2. Determine the information to include:
      • KBIs—Includes KBIs in the dataset. If you do not select this check box, the KBI Projections screen for your dataset will not contain data. Not selecting this option assumes that someone will input forecast information later. Choosing to exclude KBIs means that you will have to recalculate your budget even if you do not update KBI values.

      • Hours—Includes overtime and adjusted hours from the datasets that are being copied. If you do not select this check box, the Adjust Hours and Rates screen for your dataset will not contain data for overtime and adjusted hours.

      • Rate Adjustments—Includes adjusted rates from the datasets that are being copied. If you do not select this check box, the Adjust Hours and Rates screen for your dataset will not contain data for adjusted rates.

        Unifocus recommends the following settings:

        • If you are updating forecast KBIs, do not include KBIs.

        • If you are copying a dataset to a new year, do not include KBIs, Hours, and Rate Adjustments.

        • If you are copying one dataset to another within the same year, include KBIs, Hours, and Rate Adjustments.

  4. Select OK.
    The dataset(s) are copied.
