Understanding the Inspection workflow
The inspection workflow typically involves several steps to ensure thorough and efficient inspections. The Inspection software, which can be accessed from a computer or mobile device, helps streamline and optimize the inspection process. You can use insights from inspection data to enhance staff training programs, implement process improvements, and ensure consistent adherence to brand standards.
While the specific workflow might vary depending on your property requirements and configuration, here is a general overview of how to use this software effectively:
-
Define the inspection criteria by configuring checklists for a specific purpose using the Checklist For setting (Location, Department, Equipment, Free Text, or General). This setting defines the scope of the checklist, such as the specific location, department, or equipment it applies to.
-
Create customized checklists that align with your brand standards and operational requirements. These checklists can include criteria such as cleanliness, maintenance, safety, and compliance.
-
Organize inspectors into groups and assign groups access to relevant checklists. Groups represent collections of staff members; access to perform inspections is controlled through these group assignments.
-
Inspectors access the checklists assigned to their group on their mobile devices or computers and perform inspections on demand.
-
Inspectors follow the predefined checklists and systematically evaluate the applicable items. They can mark observations, record issues, attach photos or notes as needed, and update the inspection status. During inspections, inspectors can instantly report issues and observations, providing real-time updates to the management team.
-
If issues are identified during the inspection, jobs can be created in the Unifocus Service module from the Inspection screen.
-
Access Inspection’s comprehensive reports to gain insights into overall performance, identify areas for improvement, and make data-driven decisions to enhance operations.
