New Asset screen
The New Asset screen is accessible from the Asset Console in the Maintenance software.
Note: The New Asset screen includes the same fields as the Edit Asset screen.
Fields on the New Asset / Edit Asset screen
Note: If you are adding a new asset, these fields appear on the New Asset screen. If you are editing an asset, these fields appear on the Edit Asset screen.

Property selector |
Select a property to which the asset is associated. |
This field appears only if you have access to multiple properties. |
Asset Name |
Name of the asset. The asset name does not need to be unique but should describe what the asset is. Do not include the location in the asset name, as you can move assets to other locations. |

Image |
Select the Image section to open a file manager, where you can select an image to associate with the asset. |

Asset Code |
Unique identification code for the asset. This code must be unique to the asset and cannot be duplicated. Maintenance does not generate asset codes. When creating asset codes, keep in mind that assets can be moved to other locations. If you duplicate an asset code, an error message appears when you try to save the new asset. |

Active |
Select to make the asset active. Clear to deactivate. |
Default: Active (selected). |
Asset Category |
Category to which the asset belongs. |

Location |
Location where the asset is physically located. This can be a room number or property name. |

Asset Description |
Additional information about the asset. |

Add documents |
Select to open the Edit Documents dialog box, where you can add attachments. You can add multiple documents. |
Total file size limit: 10 MB. |
Product URL |
Enter a URL for the product. For example, this might be the manufacturer’s product web page. |

Manufacturer and Make |
Name and make of the asset manufacturer. |

Model and Serial No. |
Model and serial numbers of asset. |
|
Supplier and Cost Center |
Name of the supplier and the financial cost center to which the asset is associated. |

Purchase Date and Purchase Cost |
Date when the asset was purchased and the cost of the purchase. |

Installation Date and Expected Asset Life (Month(s)) |
Date when the asset was installed or put into service and the expected life of the asset in months. |

Add Service Details |
Opens the Asset Services dialog box, where you can add annual maintenance contract (AMC), warranty, and insurance details. Fields includes: Copy Warranty Details—Copy the warranty details into the AMC Details section. Copy Insurance Details—Copy the insurance details into the AMC Details section. Company—Name of the company providing the AMC, warranty, or insurance services. It is required for each section (AMC, Warranty, and Insurance Details). SGD Cost—The cost of the AMC, warranty, or insurance in Singapore Dollars (SGD). It is required for each section(AMC, Warranty, and Insurance Details). Start Date—Date when the service (AMC, warranty, or insurance) begins. It is required for each section (AMC, Warranty, and Insurance Details). End Date—Date when the service (AMC, warranty, or insurance) ends. It is required for each section (AMC, Warranty, and Insurance Details). Reset—Resets the details in the section (AMC, Warranty, and Insurance Details). Note: Resetting one section (for example, AMC Details) does not change the copied data in other sections. If you modify the details, you must select the Copy option again to update the target sections. |

Clear |
Clears all entries and selections on the screen. |

Submit |
Submits your changes and close the screen. |
