Managing employee communication devices

When you equip your employee with an electronic device, such as a computer, tablet, pager, or smartphone, you can assign the device to an employee in Service. Assigning the device allows the employee to receive job notifications so that they can track jobs and be alerted to new jobs when as are assigned.

Device options depend on the interfaces configured for your property. Here are some examples of devices that you can assign to your employees:

  • PC is the default device for every staff member. Alerts are sent out to the user’s personal computer. The employee must be logged in to the product suite to receive the alerts.

  • If your employees use a mobile device, such as a tablet or smartphone, select the Mobile App device option when adding a device.

  • Email is used to update email address for receiving alerts on devices with email clients.

  • Add a Pager for staff members equipped with pagers.

  • Mobile No is used to enter the mobile phone number of the staff member.

To manage employee devices, perform the following tasks:

 

Adding a device

  1. From the main menu, select Service () >  Shift setup.
    The Shift setup screen appears.

  2. Select the name of the employee to whom you want to assign a device.
    The Modify staff assignment dialog box appears.

  3. Select Add/edit devices ().
    The Device settings dialog box appears.

  4. Select Add ().
    The Staff devices dialog box appears.

  5. From the Device type drop-down list, select the type of device to assign.

  6. In the Device number field, enter the identification number that your property has assigned to the device.
    For example, this can be an inventory number or a serial number.

  7. (Optional) If you want to activate the device in the software, select the Is enabled checkbox.

  8. Select Ok.
    The device is assigned to the employee.

 

Editing a device

  1. From the main menu, select Service () >  Shift setup.
    The Shift setup screen appears.

  2. Select the name of the employee whose device you want to edit.
    The Modify staff assignment dialog box appears.

  3. Select Add/edit devices ().
    The Device settings dialog box appears.

  4. Select Edit ().
    The Staff devices dialog box appears.

  5. (Optional) From the Device type drop-down list, select the type of device to assign.

  6. (Optional) In the Device number field, enter the identification number that your property has assigned to the device.
    For example, this can be an inventory number or a serial number.

  7. (Optional) To activate the device in the software, select the Is enabled checkbox. Clear the checkbox to deactivate the device.

  8. Select Ok.
    Your changes are saved.

 

Deleting a device

  1. From the main menu, select Service () >  Shift setup.
    The Shift setup screen appears.

  2. Select the name of the employee whose device you want to delete.
    The Modify staff assignment dialog box appears.

  3. Select Add/edit devices ().
    The Device settings dialog box appears.

  4. Select Delete ().
    A confirmation dialog box appears.

  5. Select Yes.
    The device is removed from the employee record.

 

Activating or deactivating all devices for the employee

  1. From the main menu, select Service () >  Shift setup.
    The Shift setup screen appears.

  2. Select the name of the employee whose device you want to activate or deactivate.
    The Modify staff assignment dialog box appears.

  3. Select Add/edit devices ().
    The Device settings dialog box appears.

  4. Do one of the following:

    • To activate all devices, select Enable all ().
      The devices are enabled in the software.

    • To deactivate all devices, select Disable all ().
      The devices are disabled in the software.
