Shift Requests screen

Use the Shift Requests screen to approve, change, cancel, or deny requests related to employee shifts. The following actions can be performed from the Shift Requests screen:

  • Give Away—Give a shift to a different employee.

  • Pickup—Remove the shift from the employee's schedule and make it available for others to pick up.

  • Urgent Pickup—Remove the shift from the employee's schedule and send an immediate pickup request to one or more specified employees.

  • Swap—Trade shifts between two employees.

  • Drop—Cancel a shift for an employee.

Controls

 

Show requests between

Enter or select a start date to view requests submitted on or after a certain date. To enter an end date, select the Use end date check box.

Default: No end date.

Sort and filter selections are saved automatically and will be applied the next time you open the screen.

Multi-Select Requests

Turn on () to select multiple shifts on the screen.

Turning on this switch is necessary when canceling multiple shift requests. For more information, see Canceling multiple shift requests.

Default: Off

Sort by

Choose the sort order in which cards appear on the screen. Options include:

  • Soonest shift start time

  • Requester's Name

  • Seniority Date

  • Request Type

  • Date the request was entered

Sort and filter selections are saved automatically and will be applied the next time you open the screen.

Filter

Expands a menu where you can select which types of requests appear on the screen.

Search

Enter a name or employee ID number in the search field. The screen automatically updates as you type to display only requests entered by the employee(s) matching your entry.


 

Request cards Expand the categories in this section to view requests that have been submitted by employees.

Request status categories

Expand the request status categories to view shift requests that are:

  • Pending

  • Approved

  • Canceled

  • Denied

Card

Each section contains cards that show a quick view of the request. Each card contains the following information:

  • Type of request.

  • Employee who initiated the request.

  • Job for the affected shift.

  • Date of the shift.

  • Start and end times for the shift.

  • Age of the request (in days).


4 Details pane The details pane provides information for the selected card. The color and text in the header change depending the type of shift request you selected. 
  Drop Request
 

Close

Closes the details pane.

 

Details

Displays information related to the shift:

  • Employee who initiated the request.

  • Date of the shift.

  • Start and end times for the shift.

  • Job for the shift.

Read-only.

Note from ...

Comments submitted by the employee when the request was created.

Read-only.

If approved

Displays how hours and costs are affected if the request is approved.

Read-only.

Deny

Rejects the request and closes the details pane.

 

Approve

Begins the process of approving the request. After selecting Approve, you have the option to:

  • Drop and Make Shift Open.

  • Drop and Create Urgent Pickup Request.

  • Drop and Reassign Shift.

 
 

Approved by:

Name of the manager who approved or denied the shift request and the time stamp showing when the approval or denial occurred.

Close

Closes the details pane.

 

Details

Displays information related to both shifts:

  • Employee who initiated the request.

  • Date of the shift.

  • Start and end times for the shift.

  • Job for the shift.

Read-only.

Submitted

Date and time when the request was created.

Read-only.

Accepted on

Date and time when the request was accepted.

Read-only.

Approved By

Name of the manager who approved or denied the shift request and the time stamp showing when the approval or denial occurred.

 

Note from ...

Comments submitted by the employees when the request was created.

Read-only.

If approved

Displays how hours and costs are affected if the request is approved.

Read-only.

Potential Violations

Alerts you to any hours or costs violations that will occur if the request is accepted.

Read-only.

Deny

Rejects the request and closes the details pane.

 

Approve

Accepts the request for both employees and updates their schedules.

This tab displays information related to the shift:

  • Employee who initiated the request.

  • Date and time when the request was created.

  • A note from the employee.

  • Employees who accepted the request.

  • Assigned: Name of the employee to whom the approved request's shift is assigned.

  • Employees who have not responded.

  • Employees who declined the request.

 

Accepted tab

On this tab, you can:

  • Sort the employee list by:

    • Seniority Date.

    • Accepted on Date.
  • Expand an employee row to view:

    • Date and time when the request was accepted.

    • A note from the employee.

    • Seniority Date.

 

Deny Request

Rejects the request and closes the details pane.

 

Select Recipient

Assigns the selected employee to the shift.

 
  Pick Up Request
  Close Closes the details pane.

    • Scheduled Hours Adjustment.

    • Number of Violations.

    • Hire Date.

  • Expand an employee row to view:

    • A note from the employee.

    • Seniority Date.

    • Hours and Costs adjustments if approved.

    • Potential Violations.

  • Assign an employee to the shift.

 

Deny All

Rejects all requests to pick up the shift and closes the details pane.

 
  Urgent Pick Up Request
 

Close

Closes the details pane.

Employee Selection Employee selection is also called Open Shift Pick Up or Shift Genius.

  • Job for the shift.

  • Job rank.

  • Number of Available Shifts.

Read-only.

Accepted

Number of employees who submitted or accepted the request out of the total number of employees included in the grouped requests.

Read-only.

Sort

Sort the employee list by:

  • Seniority Date.

  • Accepted on Date.

  • Job Rank.

 

Select All Employees

Select the check box to select all employees.

 

Select employee

Select the check box in the employee row to select the employee.

 

Employee details

Expand the employee row to view:

  • Date and time when the request was submitted or accepted.

  • A note from the employee.

  • Seniority Date.

  • Hours and Costs adjustments if approved.

  • Potential Violations.

  • Approved By: Name of the manager who approved or canceled the shift request and the time stamp showing when the approval or cancellation occurred.

Read-only.

Assign Selected

Accepts the request for selected employees and closes the details pane.

 

Deny Selected

Denies the request for selected employees and closes the details pane.

 

Cancel Request

Rejects all requests to pick up the shift and cancels the request.
