Importing hours and rate adjustments
Using the Adjustments Template CSV file, you can add a batch of hours and rates adjustments for a property.
Process for importing hours and rates adjustments
Follow the steps below to export the Adjustments Template CSV file, update as necessary, and import the completed file to the software:
1. Download the Adjustments Template

The first step is to download the Adjustments Template CVS file. When downloaded, this file contains all job class lines that are linked to budget lines at your property.
To download the Adjustments Templates CSV file:

In the upper-left corner of the screen, select Access your applications ( ).
The menu expands. -
Select Financial > Budgeting.
The Budgeting Dashboard screen appears.

In the Budgeting menu pane, select Adjust Hours and Rates ().
The Adjust Hours and Rates screen appears.

From the Tools drop-down list, select Download Adjustment Template.
The template downloads to your computer.
2. Complete the CSV file
Once you have downloaded the Adjustment Template, you are ready to add your adjustments.
Tip: Unifocus recommends that you first complete a CSV file that includes only your average rate adjustments, then you complete another CSV file that contains hours and rate adjustments that are not average rate adjustments. The first file contains only adjustments for which Y (Yes) is selected for Job Rate Override; the second file contains only adjustments for which N (No) is selected for Job Rate Override. Open the Adjustment Template CSV file that you downloaded in the steps above.
The file is populated with every job line that is linked to a budget line at your property.Note: If you are unable to open the file or have any problems completing the file, contact your UniFocus Partner Relationship Manager.

In the worksheet, enter each adjustment in the appropriate row.
Note: The top three rows are sample entries.
Caution: If two or more rows contain the same Start Date, End Date, Reconcile Code ID, Adjustment Type, and Description, the duplicate rows will not be imported. Likewise, if you previously created an adjustment with the same Start Date, End Date, Reconcile Code ID, Adjustment Type, and Description, the duplicate rows will not be imported.

Start Date
Date on which the adjustments begins.
Required.
Format: MM/DD/YYYY
Default: Year of the working dataset.

End Date
Date on which the adjustments ends.
Required.
Format: MM/DD/YYYY
Default: Year of the working dataset.

Reconcile Code ID
Reconcile code ID configured for the job class.
Required.
Do not edit.
If there are multiple reconcile code IDs for a job, the field will contain the first ID associated with the job.
D
Job Name
Name of the job to which the adjustment is applied.
Format is the full path name of the job. Example: "Resort\Administration and General\Innkeeper".
Do not edit.
Jobs are sorted alphabetically in the following order: Division, Department, Job.

Amount
Amount for the adjustment.
The number can be for either dollar values or hours.
Required.
Numeric only.
You can enter positive or negative values.

Adjustment Type (R, H, OT)
Enter the type of adjustment:

RAT—Rate adjustment.

HRS—Hours adjustment.

OT—Overtime Adjustment.
Required.
Format:

Description
A brief description of the adjustment. This description appears with an asterisk ( * ) in the Adjust Hours and Rates screen.

Required.
Although there is a 50-character limit in the corresponding database, Unifocus recommends that you keep this description as short as possible.

A note about the adjustment.

Job Rate Override (Y/N)
Yes (Y) or No (N)—the amount will override the average rate for the job in the selected date range.
Options include:

Y—Yes. The entered amount will override the average rate for the job in the selected date range. If you select Y, you must include all dates in each period to which you applying a new average rate. You cannot apply it to a partial period.
For each override row, the time frame specified in the Start Date and End Date fields must be one of the following options:

A complete financial period (or month)—1/1/YYYY – 1/31/YYYY, 2/1/YYYY – 2/28(9)/YYYY, 3/1/YYYY – 3/31/YYYY, …etc.

A complete quarter—Q1 is 1/1/YYYY – 3/31/YYYY, Q2 is 4/1/YYYY – 6/30/YYYY, Q3 is 7/1/YYYY – 9/30/YYYY, Q4 is 10/1/YYYY – 12/31/YYYY.

A complete year—1/1/YYYY – 12/31/YYYY.

N—No. The entered amount is not a job rate adjustment; it is a date range adjustment.

If you need to make additional adjustments for a job, do the following:
Insert a new row under the job line that you will add an additional adjustment to.
In the original row, copy cells A through D for the job.
In the new row, paste the copied cells A through D and then complete cells E through I as necessary.

(Optional) Delete the unused rows in the worksheet.
Note: Although deleting unused rows is an optional step, doing so will reduce processing time when you import the CSV file.
- Save the file to your computer as a CSV file.
3. Import the CSV files
After you have added your adjustments and saved the completed Adjustments Template CSV file, you are ready to import the completed file.
Tip: Unifocus recommends that you first import a CSV file that includes only your average rate adjustments, then you import another CSV file that contains hours and rate adjustments that are not average rate adjustments. The first file contains only adjustments for which Y (Yes) is selected for Job Rate Override; the second file contains only adjustments for which N (No) is selected for Job Rate Override. Select Browse.

Select the file from your computer.

Select Open.
The name of the file appears in the dialog box. -
Select OK.
When complete, a confirmation message appears.
