Work Order Console

The Work Order Console is the landing screen of the Maintenance software. It is a centralized dashboard for managing, tracking, and prioritizing work orders, providing you with a real-time overview of pending, in-progress, and completed maintenance tasks.

The Work Order Console streamlines work order management, enhances communication between teams, and ensures timely resolution of maintenance issues to maintain facility efficiency and guest satisfaction.

Note: The Work Order Console displays all work orders created either through Preventative Maintenance (PM ) Schedules, through Service integration, or using the Maintenance software. All work orders appear on this screen until they are completed. Completed work orders are archived for up to a maximum of 90 days after completion; however, the default setting is 30 days.

Filters and controls

Status filters

In the upper-left corner of the console, a tracker displays the total number of work orders in each status. Select a status to view all work order in that status. The selected status is highlighted in gray. Selecting the status again reverts the console to default setting and displays work order of all statuses.

Filter the screen by work order status:

  • Unassigned ( )—Work order is registered but not assigned to a technician.

  • Assigned ( )—Work order is registered and assigned to a technician.

  • Pending ( )—Work order is pending approval.

  • In Progress (Blinking) ( )—The technician selected Start and has begun work on the work order.

  • Parked ( )—Work order is Parked, or on hold.

  • Complete ( )—Work order has been completed by the technician.

  • You can filter your results by selecting multiple statuses, including Unassigned, Assigned, Pending Approval, In Progress, Parked, and Completed.

 

Filters

You can also filter the screen to display:

  • All work orders assigned to you.

  • All work orders that originated from occupied guest rooms.

  • All work orders due to be completed today.

  • All work orders that are overdue or late.

  • All work orders that were triggered by a Preventative Maintenance Schedule.

You can add save view with filters. After saving the view with filters, select Load View to view the filtered screen.

 

Property selector

Select a property from the drop-down list.

This drop-down menu appears only if you have access to multiple properties.

Filter

Opens Filters dialog box where you can apply additional filters.

You can filter by:

  • Preventive Maintenance

  • Asset

  • Skill

  • Location

  • Department

  • Work Order Description

  • Asset Category

  • Job Description

  • Logged By

  • Work Order Type

  • Assigned To

  • Select Approval Status

  • Checklist

  • Occupancy Status

  • Action Reason

 

Group option
Sort the work order with the listed group option.

You can search by:

  • Location

  • Asset

  • Work Order Description

  • Priority

  • Technician

  • Department

  • Work Order Type

  • Property

 

Search

Search by text or numerical values. You can search by:

  • Work order numbers

  • Technicians

  • Work order description

  • Location

  • Work order type

  • Job description

  • Job number

  • Parent Work Order

  • Preventive Maintenance

  • Work order number

 

Sort

(ascending / descending)

Options include:

  • Due date and time when the work order was last updated

  • Last action taken

  • Registered date/time

  • Updated date/time

  • Work Order Number

  • Priority

  • Parent Work Order

Refresh

Refresh the screen.

Checkbox

Select one or multiple rows to open the bulk action item menu in the lower-right corner of the screen, where you can perform the following actions:

  • Assign the work order to staff.

  • Complete the work order.

  • Park the work order.

  • Cancel the work order.

 

Work Order Number

Number of the work order.

Read-only.

Asset

Name of the asset associated with the work order.

When you start a work order without an asset, it will display the below error message:

Asset is not attached. Do you want to attach it before starting the Work Order?

You have two options to proceed:

  • Attach an Asset—Select this option to open the Add Asset screen. Enter the required information, including Location, Asset Category, and Asset, then proceed to start the work order.

  • Continue Without Asset—Select this option to start the work order without attaching an asset.

Read-only.

 

If no location is mapped to an asset, work orders for those assets will follow the standard work order process, without location-specific requirements.

Room status

Icon representing the status of the room.

Read-only.

Location

Location of room associated with the work order.

Read-only.

Work order status

Status of the work order:

  • Unassigned ( )—Work order is registered but not assigned to a technician.

  • Assigned ( )—Work order is registered and assigned to a technician.

Work Order Description

Description of the work order.

Example: Bad odor coming from AC.

Attachments

Attachments (images or documents associated with the work order.

Read-only.

Priority

Icon indicating the priority of the work order. Hover over the icon to see a tooltip description.

Read-only.

Technician

Name of ID of the technician assigned to the work order.

Read-only.

Created On

Date and time when the work order was created.

Read-only.

Started On

Date and time when the work order was started.

Read-only.

Completed On

Date and time when the work order was completed.

Read-only.

Due Date

Date and time when the work order is due to be completed.

Read-only.

Parked Reopen Date

Date and time when the work order was parked or reopened, if applicable.

Read-only.

WO Type

Work order type.

Examples: Preventive, Corrective.

Read-only.

Skill

Skill required to complete the work order.

Read-only.

Department

Department associated with the work order.

Read-only.

Checklist

Indicates that a checklist is associated with the work order.

Read-only.

Page selectors

Controls include:

  • First page selector ( )—Go to the first page.

  • Previous page ( )—Go to the previous page.

  • Next page ( )—Go to the next page.

  • Last page ( )—Go to the last page.

 

New Work Order

Opens the New Work Order screen, where you add a new work order.

Bulk action item menu

For selected work orders, you can perform the following actions:

  • —Assign the work order to staff.

  • —Complete the work order.

  • —Park the work order.

  • —Cancel the work order.

This menu appears only if one or more work orders are selected.
