Time Clocks

Use this screen to configure your Time Clocks and designate which clocks may or may not be used for specific jobs or punch types. For example, if the restaurant is a 10 minute walk from the lobby, you do not want restaurant employees to punch in from the Time Clock located in the lobby. Use the Time Clocks screen to restrict access for Time Clocks that are outside of an acceptable range for the job location. 

Note: Every Time Clock that is part of the active payroll system must be configured.

Field Description Notes

Audit

View a history of changes to the screen.


Property Level Configuration

Opens the Property Level Configuration dialog box, where you edit settings that apply to all clocks at a property. For more information, see Property Level Configuration dialog box on the Time Clocks screen.


Select Time Clock

Status

Filter by status of Time Clocks:

  • Active Only

  • Inactive Only

  • All

Default: Active Only.

Search

Filter by clock name or IP address.

The table updates as you type in the Search field.


Add

Add a new Time Clock.


Delete

Remove the selected Time Clock from the list.


Clock Name list

Select a Time Clock to view or edit Details or Permissions.

Time Clocks automatically transmit data to a database. Each time the clock transmits data, it is called a heartbeat. One of the following icons appears for each clock:

  • Green heartbeat ()—The Time Clock is connected to the database and received a heartbeat within the past 5 minutes. It is sending punches to the database and will apply any configured work rules for the clock.

  • Yellow heartbeat—The Time Clock is connected to the database and received a heartbeat within the past 15 minutes. It is sending punches to the database and will apply any configured work rules for the clock.

  • Red heartbeat ()—The Time Clock is not connected to the database. It is storing punches. Any work rules configured for the clock will not be triggered.


Details

Clock Name

Name of the Time Clock.

Required.

Code

Unique identifier for the Time Clock.

Required.

Version

Which software version is installed on the Time Clock.

Read-only.

Last Heartbeat

Displays the last time the clock transmitted data to the database.

Read-only.

Clock Type

Select the type of clock from which you are processing punches.

Required.

Active

If ON (  ), the clock is currently in use.


IP Address

IP address of the computer to which you are connecting.

This field is only visible if there is a Network Connection Type.

IP Port

Transport protocol used to communicate with the computer to which you are connecting.

This field is only visible if there is a Network Connection Type.

Time Zone

Time zone where the Time Clock physically resides.


Latitude

Latitudinal coordinates of the clock.

This field applies only to virtual Time Clocks.

Longitude

Latitudinal coordinates of the clock.

This field applies only to virtual Time Clocks.

Radius (meters)

The radius (in meters) to establish the geofence of the clock. Employees must be within the configured distance from the clock to enter a punch using the Mobile App.

This field applies only to virtual Time Clocks.

GPS Validation Mode

Determines whether the virtual Time Clock has GPS validation mode enabled. With GPS validation enabled, employee punches are accepted only if the location-based services are enabled on employees' mobile devices and if they are punching (using the Unifocus Mobile App) within the geofence of the virtual Time Clock.

Note: The geofence is determined by the longitude, latitude, and time zone of the virtual Time Clock.

  • Allow Punch—If selected, there are no location-based service restrictions. Employees can punch using the Mobile App.

  • Disallow Punch—If selected, employees cannot punch using the Mobile App and will receive notification messages if they do not have location-based services enabled on their mobile devices or if they are outside of the geofence of a virtual Time Clock location. 

  • Store as Rejected Punch—If selected, the following occurs for employees who do not have location-based services enabled on their mobile devices or are outside of the geofence of a virtual Time Clock location:

    1. Employees receive a notification that their devices are outside of the configured geofence and that their punches will be stored for manager review. 

    2. Employees are allowed to punch.

    3. The punches appear in employees' Time Card screens as a rejected punches.

This field applies only to virtual Time Clocks.

Default: Allow Punch.

Permissions

Expand All

Expands the table to display all jobs in the labor structure.


Collapse All

Collapses the table so only the top level of the labor structure is displayed.


Search

Begin typing search criteria into the field. The job tree actively updates to show only organization levels matching your search.


Labor Item

Expand divisions, departments, jobs, and assignments for which to restrict punches on the clock.

  • Expand() or collapse () rows to grant access to different types of punches for the division, department, or job.

  • Select the check box(es) next to the division, department, or job to grant access to the specified punch type.


In

If selected, employees can punch In for the specified job at this Time Clock.


Out

If selected, employees can punch Out for the specified job at this Time Clock.


Break

If selected, employees can enter a Break punch for the specified job at this Time Clock.


Back

If selected, employees can punch Back from break for the specified job at this Time Clock.
