Attendance screen

The Attendance screen tracks employees' adherence to or violation of attendance policies. If employees violate an attendance policy (for example, arriving late), points are associated with their records. When accumulated employee points exceed the established parameters, an employee event is generated. For example, each time employees are late for work, they receive a point for the late arrival. Five late arrivals (or five Late Arrival points) trigger an employee event, which generates a warning letter that can be sent the employee. 

Your property's attendance policies can be configured in the Employee Points and Employee Event work rules. These configurations determine when points are attributed to employees and how many points are needed to trigger the corresponding event. When an event is triggered, the manager can generate a letter to notify the employee using the templates in Employee Event Document Templates.

The Attendance screen is made up of three main components:

  • (1Controls—The controls at the top of the screen are available in both the Points view and the Events view of the Attendance screen. Use these controls to switch between views, add new points or events, search or filter the screen, and re-run attendance calculations to display the most current data. 

  • (2Points view—The Points view is the default view for the screen and allows you to review, edit, excuse, acknowledge, or delete points.

  • (3Events view—The Events view allows you to review, edit, excuse, execute, or delete events.

# Control Description Notes

Start Date

Select or enter a start date for the date range you want to view.

Required.

Use End Date

If selected, the End Date field is available. By default, the End Date is the today's date. If Use End Date is selected, you can choose an end date to exclude more current points or events. 
For example, if you want to view only points or events from the previous pay period, you can select Use End Date and enter the last date of the previous pay period into the End Date field.

End Date

Select or enter an end date for the date range you want to view. If no end date is selected, the screen displays all points from the start date to present.

Default: Today's date.

This field is only available if Use End Date is selected.

Points / Events

Choose to display either the Points view or the Events view of the Attendance screen.

Add Point / Add Event

If you are in Points view, this button opens the Add Point dialog box where you manually assign a point to an employee.

If you are in Events view, this button opens the Add Event dialog box where you manually create an employee event.

Filter

Opens the Filter dialog box where you choose to display points based on the following criteria:

  • Source

  • Type

  • Job

Search

Type your search criteria in the field. The table automatically updates to meet the search criteria.

Calculate Attendance

Re-runs the calculation of attendance points and events based on current data.

Icon that indicates whether a point or event was manually entered by a manager or was automatically generated by a work rule.

  • Rule ()—The point was automatically applied by a work rule.

  • Manual ()—The point was added manually.

3 Point Details pane Select a point card to open the Point Details pane where you can excuse, acknowledge, or delete the point.














Name

Name of the employee who received the point(s).

Date

Date on which the point was assessed.

Read-only.

Reason

Reason the point was assessed.

Hours

Number of hours affected by the violation.

Number of points assessed.

Job

Job for the affected shift.

Displays details for the affected shift.

Type of point. The point type reflects the action that caused the point to be assessed. For example, if an employee punched in late, the point type is Late In.

If the point was entered manually, this field displays the username of the person who added the point.

If the point was generated automatically by RMS, this field displays the rule item that created the point.

Read-only.

Created on

Date and time when the point was assessed.

Read-only.

Status

If the point has been acknowledged or excused, this field displays the details of the status change.

Read-only.

If the point is pending review, no status is shown.

Note

Enter a note for the point.


Excuse

Mark the point as excused. Excused points are not counted in the total point accumulation that results in an event.


Acknowledge

Mark the point as acknowledged to denote that a manager has reviewed and addressed the point. 


Delete

Delete the point.

Points

Name

This button is available only if a document template is configured for the event type.
