Creating task sheets - automatic assignment

Housekeeping allows you to quickly generate task sheets by using the designed Auto Assign Attendants feature. This feature equally divides and allocates the rooms that require service by credits.

By applying constraints, max credits, and max zones, you can control the limit of rooms that each room attendant automatically receives, the number of floors one may travel, and further restrictions such as fixed sections or floors.

  1. From the main menu, select the Housekeeping ( ) option.
    The Housekeeping Dashboard screen appears.

  2. From the menu pane on the left side of the screen, select Manage Task Sheets ( ) > Task Sheet Editor.
The Task Sheet Editor screen appears.

For field descriptions and more information, see Task Sheet Editor.

  1. From the Create drop-down list, select From Task Sheet Set.
The Create Task Sheets pane opens.

For field descriptions and more information, see Create Task Sheets pane.

  2. From the Task Sheet Set drop-down list, select the required task sheet. A task sheet set refers to a collection or group of task sheets that are typically associated with a specific property, area, or set of cleaning and maintenance instructions used by housekeeping staff for a particular purpose. For example, it might be a selection of the hotel’s bedrooms (possibly filtered on dirty rooms in the morning for general cleaning) and occupied rooms for turndown service in the evening.
Once you select the task sheet set, additional fields appear.

  3. Select the Auto Assign Attendants checkbox.

  4. In the upper-left corner of the screen, select Select Attendants.

  5. In the Available Attendants window, select the attendants to whom you want to assign the rooms.

  6. If necessary, update Default Credits, Max Zones, and Room Sets.

  7. When you have made your relevant selections, select Save.
You return to the previous screen. The screen provides a confirmation message with the number of selected attendants and their combined credit value, if applicable.

Note: Room attendants are saved for the business day. However, from the Available Attendant menu, you can pre-save for future dates.

  8. Select Create.
The task sheets are generated. The software allocates each room attendant a set of rooms, based upon the configured rules. Finally, you must activate the task sheets. For more information, see Activating and completing task sheets.
