Adding a shift related standard
On the Shift Related Standards tab in Labor Standards, you can create standards that are assigned to a specific shift. These standards can be fixed, variable, or semi-variable.
This tab is available only if the Standard Type is set to KBI Related or Simple Non-Flowed. For more information, see Configuring Planner Settings.
The Standards pane is available only if a job or assignment/sub-assignment is selected. The Standards pane is not available at the property, division, or department levels.

In the upper-left corner of the screen, select Access your applications ( ).
The menu expands. -
Select Setup > Labor Standards.
The Labor Standards screen appears.

In the Labor Structure tree menu, select the labor structure level to which you want to add a standard.
Details for the selected labor structure appear in the right pane. -
From the Standard Set drop-down list, select the standard set that you want to work with.

If necessary, expand () the Standards pane.

Select the Shift Related Standards tab.

Expand All ()—expands all rows in the table.

Collapse All ( )—collapses all rows to show only the shift start time.
Add Standard
Add a new standard.
Edit Standard
Edit the selected spread standard.
This button is only available if a spread standard is selected.
Additional Environments
Add an environment to the table. For days on which the environment is in effect, the shift standards that you configured for the environment will apply, regardless of the weekday.
Table Labor structure
A collapsible/expandable tree menu of all organization levels to which a standard is applied.
Distribution Method
Defines how labor is allocated during a shift.

Distribution Options
Displays additional information that you determine when configuring the Distribution Method.
For more information, see Add/Edit Shift Related dialog box in Labor Standards.
Volume Range
The minimum number and maximum number of KBIs for which the units of time are distributed.
For more information, see Add/Edit Shift Related dialog box in Labor Standards.
Environment
Standard for days on which the environment is in effect.
The name of an environment column will match the name of the selected environment.
Weekdays
Standard for each day of the week.
Warning
Displays any conflicts related to the configuration.
Delete
Deletes the shift related standard.

(Optional) To apply a standard to a special circumstance for which you have an environment configured, select one or more conditions from the Additional Environments drop-down list.

To add a standard, do one of the following:

Above the table, select Add Standard.

Field Description Notes Shift
Start time for the shift for which to configure standards.
Required.
KBI
Key Business Indicator to attach to the standard.

Work Type
Type of work to be distributed:

Daily—Uses the daily KBI total to determine the volume range to use.

Weekly—Uses the weekly KBI total to determine the volume range to use.
-
Staff—Used to configure a standard that accommodates additional work completed during each planned shift, such as attending meetings or balancing a cash drawer.
-
Recurring Task—Used to configure a standard that accommodates recurring fixed tasks within a shift, such as a daily cleaning period.
Units
Units in which the work is measured.
Suppress Value
Specify the amount of the selected KBI that should not apply to the variable labor standard calculation. When configuring a standard, this feature allows you to start the standard at a volume above 1, without adding the additional labor for the volume below the starting point.
Click here to see an exampleThe labor standard for check-ins at your hotel is 5 minutes per check-in. Along with a front desk clerk, your hotel always has a manager on duty. Although you might have configured the manager to have a fixed 8-hour shift (not variable by volume), you know that managers can typically handle 50 arrivals by themselves. When you set up the labor standard for front desk clerk, you will need to account for that fact that the manager can cover the first 50 check-ins.
When configuring the shift related standard, you might enter "50" in the From Volume to account for the manager's work and allow the standard to take effect after the 50th check-in. However, when the standard calculates the labor the 51st check-in, it will still associate 51 check-ins to the front desk clerk at 5 minutes per check-in, totaling 255 minutes. In actually, the front desk clerk required only 5 minutes for the 51st check-in because the first 50 check-ins have already been handled by the manager. By entering "50" in the Suppress Value field, you specify the number to subtract from the KBI value—which, in this example, is the 50 check-ins handled by the manager. Therefore, in the case of the 51st check-in, the labor calculation is 5 minutes per check-in x (51 - 50 check-ins) = 5 x 1 = 5 minutes.
The KBI volume ranges are unaffected by this field. Only the amount of labor calculated in each range is affected.
Distribution Method
Select one of the options to determine how labor is distributed during the shift. Depending on the distribution method you select, you might be required to complete additional fields.

Flowed—Distributes the work across the shift based upon percentages by time period.

Flow Plan—Select a pre-configured flow plan to determine how labor is distributed.

Ignore Retention—Disables the Retention calculations if the KBI that is attached to the standard is related to a Revenue Center, and the Revenue Center has Retention defined.

Non-flowed—Distributes the work evenly across the shift. Select one of the following options:

Beginning—Distributes the work starting from the beginning of the shift and progressing towards the end of the shift.

End—Distributes the work starting from the end of the shift and progressing towards the beginning of the shift.
-
Middle—Distributes the work starting from the middle of the shift and progressing outwards in both directions.

Even—Distributes the total work according to the number of periods in the shift.

Opening—Specifies the amount of time it should take to open the revenue center or department associated with this job.

Earliest work start time—Earliest time that the work can begin. Required.
-
Work completed by time—Time that the work must be completed. Required.

Closing—Specifies the amount of time it should take to close the revenue center or department associated with this job.

Earliest work start time—Earliest time that the work can begin. Required.

If you selected Staff as the Work Type, the Distribution Method is set to Non-Flowed by default and cannot be edited.
Add Range
Adds a new row to the table, so that you can add a new range.
From Volume
Starting number for the KBI volume range. This is the minimum number of KBIs for which the units of time are distributed.
Enter 1 in the From Volume field and up to 99999 in the To Volume field, to specify the range. For example, you use the KBI for Total Rooms. You know that you will never have more than 500 rooms, so you would enter 1 in the From Volume field and 500 in the To Volume field.
Note: If you added a value in the Suppress Value field, the value that you enter in the From Volume field should be greater than or equal to the suppress value.
Default: 1 OR, if adding a range to the table, the starting number is the To Volume of the previous range +1.
To Volume
Ending number for the KBI volume range. This is the maximum number of KBIs for which the units of time are distributed.
Enter 1 in the From Volume field and up to 99999 in the To Volume field, to specify the range. For example, you use the KBI for Total Rooms. You know that you will never have more than 500 rooms, so you would enter 1 in the From Volume field and 500 in the To Volume field.
Default: infinity ().
Environments
Enter the number of units to distribute for days on which an environment is in effect.
An environment is a special circumstance for which the volumes might differ from the norm. For example, you can create different standards for bad weather days or recurring events. For more information, see Environments.
The name of an environment column will match the name of the selected environment.
Weekdays
Enter the standard for each day of the week.
Delete
Deletes the row.
Cancel
Closes the dialog box without applying your changes.
Save
Applies your changes and closes the dialog box.

From the Shift drop-down list, select the shift to which you want to apply the standard.

From the KBI drop-down list, select the key business indicator to associate with the standard.

(Optional) From the Work Type drop-down list, select the type of work to be distributed.

From the Distribution Method drop-down list, select one of the options to determine how labor is distributed during the shift.

Configure additional fields based on the selected distribution method.
Select a distribution method below to view definitions and additional steps.FlowedThe Flowed distribution method distributes the work across the shift based upon percentages by time period.

From the Flow Plan drop-down list, select a pre-configured flow plan to determine how labor is distributed.

(Optional) Select Ignore Retention. If the KBI that is attached to the standard is related to a Revenue Center and the Revenue Center has Retention defined, Retention calculations are disabled.

In the columns for each day of the week, enter the number of units to distribute for the weekday.
Non-flowedThe Non-flowed distribution method distributes the work evenly across the shift.

From the Distribution Method drop-down list, select Non-flowed.

Choose one of the following options to determine how labor is distributed:
- Beginning—Distributes the work starting from the beginning of the shift and progressing towards the end of the shift.
- End—Distributes the work starting from the end of the shift and progressing towards the beginning of the shift.
- Middle—Distributes the work starting from the middle of the shift and progressing outwards in both directions.
- Even—Distributes the total work according to the number of periods in the shift.

In the columns for each day of the week, enter the number of units to distribute for the weekday.
OpeningSelect the Opening distribution method to specify the amount of time it should take to open the revenue center or department associated with this job. Enter the amount of time required to perform work before the shift starts.

From the Distribution Method drop-down list, select Opening.

In the Earliest work start time field, enter the earliest time that the work can begin. For example, if the shift begins at 9:00 AM and it takes 1 hour to complete opening work, the Earliest work start time is 8:00 AM.

In the Work completed by time field, enter the time at which you expect the work to be completed. For example, if the Earliest work start time is 8:00 AM and it takes 1 hour to complete closing work, the Work completed by time is 9:00 AM.

In the columns for each day of the week, enter the number of units needed to complete the work.
ClosingSelect the Closing distribution method to specify the amount of time it should take to close the revenue center or department associated with this job. This time is added after the shift ends.

From the Distribution Method drop-down list, select Closing.

In the Earliest work start time field, enter the earliest time that the work can begin. For example, if the shift ends at 10:00 PM, closing work can begin at 10:00 PM.

In the Work completed by time field, enter the time at which you expect the work to be completed. For example, if the Earliest work start time is 10:00 PM and it takes 1 hour to complete closing work, the Work completed by time is 11:00 PM.

In the columns for each day of the week, enter the number of units needed to complete the work.
Share WithUse the Share With distribution method if you expect a salaried employee or supervisor to take on some of the work that would normally be assigned to another job. With this method, you enter the number of hours that the salaried employee or supervisor spends completing the work, so that the standard for the hourly associate is reduced. For example, the Front Desk Manager completes periodic check ins and check outs that would normally be completed by the Front Desk Clerk. Because this work is being completed by the Manager, the amount of work expected of the Clerk is reduced.

From the Distribution Method drop-down list, select Share With.

In the columns for each day of the week, enter the number of units that the salaried employee or supervisor performs the work.
Note: You configure which supervisors or salaried employees share schedules on the Scheduling tab of Employee Maintenance of Employee Maintenance screen.

Select Save.
The dialog box closes, and the new shift related standard is saved.
