General tab of Employee Maintenance

View and edit basic employee information on the General tab of the Employee Maintenance screen.

Caution: If your company uses interface files for importing data into RMS, most of the information on the General tab of the Employee Maintenance screen is automatically updated with each import. The only field that you should update is the Display Name field, which is not overwritten with each interface file import. Check with your HR or Payroll department to determine whether your company uses interface files.

Note:The fields that appear on the General tab of the Employee Maintenance screen depend on the configuration in the Employee Config Field Overrides. You might not see all of the fields defined in the table below.

Field Description Notes
Personal Information

Emp. ID

Unique identification number for the employee.


Display Name

Name that appears on the RMS screens.

For example, an employee might be commonly known by their middle and last name. If only the first and last names appear in Employee Maintenance, users might not recognize the employee. Change the display name to reflect the actual name used by the employee.


First Name

First name of the employee.


Middle Name

Middle name of the employee.


Last Name

Last name of the employee.


Additional Fields

Select the expand icon ( ) to view additional fields.

Extra Data

Type in any additional information relating to the employee.


Birth Date

Birth date of the employee.


Gender

Gender of the employee.


Alt. Emp. ID

Alternate unique identification number of the employee. This alternate employee ID number can be set to use in place of the Emp ID.


Marital Status

Marital status of the employee.


# Dependents

Number of dependents that the employee claims.


Payroll Emp. ID

Employee's unique identification number used in the payroll system.


Extra Data

Additional information about the employee.


Ethnicity

Ethnicity of the employee.


Locale

Default language for the employee.


Contact Information

Address

Address of the employee.


Address 2

Address of the employee (apartment, room, or suite number).


City

Employee's city of residence.


State

Employee's state of residence.


Zip Code

Employee's zip code.


Home Phone

Home phone number for the employee.


Mobile Phone

Mobile or cellular phone number for the employee.


Other Phone

Alternate phone number for the employee.


Email

Contact email address of the employee.


Emergency Contact

Name of the employee's emergency contact.


Emergency Phone

Phone number of the employee's emergency contact.


Employment Information

Hire Date

Date when the employee was hired or began work.

Default: This field automatically displays the date when you entered the new employee record.

The date entered should be verified for accuracy.

Seniority Date

Date when the employee's seniority is calculated.

Although this date is usually the same as the hire date, there are instances when the seniority date might differ from the hire date. For example, if an employee is initially hired, leaves the company, and is later rehired by the same company, their seniority date might be the date of the initial hire and their hire date might change to the rehire date.

Default: This field automatically displays the date when you entered the new employee record.

The date entered should be verified for accuracy.

Work Class

Whether the employee is full time, part time, seasonal, temporary, or on call.


Primary Class

User-defined groups by which you can group employees.

The available user-defined groups are created in Employee Classes.

Secondary Class

Additional user-defined groups by which you can group employees.

The available user-defined groups are created in Employee Classes.

Additional Fields Select the expand icon ( ) to view additional fields.  

Tipped

Whether the employee is tipped, not tipped, or indirectly tipped.


ADA Accommodations

Whether an employee fits the ADA criteria and what special accommodations need to be made.

Type custom text or notes in the field.


Orientation Date

Date when the employee attended orientation.


401K Eligible

Date when the employee became eligible to receive 401K benefits.


401K Enrolled

Date when the employee enrolled for 401K benefits.


Next Review

Date when the employee's next review should occur.

You can type a specific date, click the calendar icon and select a date, or automatically set the next review to be in 90 days or 1 year from the hire date by clicking on the respective button.


Last Review

Date when the employee's last review occurred.

You can type a specific date or click the calendar icon and select a date.


Edit Time Clock

Use this section to configure each employee to use the Time Clock and/or Mobile App. Depending on what software modules you own, and your Time Clock configuration, you might not see these fields.

 

Clock Administrator

If selected, the employee is granted Time Clock Administrator permission and can perform the following tasks in the Time Clock:

  • Enroll and re-enroll employees.

  • Refresh the Time Clock application so that newly added employees can use the Time Clock.

  • Shut down the Time Clock application.

Bypass Biometric Verification

Select the check box if the employee does not need to go through biometric verification.

If you do not have Time Clocks with biometric verification enabled, this field does not apply.

Enable Auto-Punch Mode

If selected, the employee does not have to punch In, Out, Back, or Break.


PIN

Personal Identification Number—Type the access PIN for each employee. This PIN is used when an employee clocks in/out.


Password

Select a password for the employee that allows them to access the Employee Portal.


Mobile
Drop-down menu

Send the employee an invitation to register for the Unifocus Mobile App or promote the employee to Mobile Manager. Options include:

  • Paper Invite—Generates a printable PDF that can be handed to or mailed to the employee.

  • Email Invite—Sends a digital invitation to the employee's email address.

  • Reinvite—If the employee fails to register using the first invite, a new invite can be sent.

  • Promote Employee—Grants the employee access to manager screens in the Mobile App.

The employee's email address is configured in the Contact Information tile of the General tab. 

Note: If no email address has been configured, you will be prompted to enter an email address to which the invite will be sent. Entering an email address at the prompt will not update the employee's Contact Information.

Login ID

The employee's username for the Mobile App.

Read-only.

Last Login

Date and time of the employee's most recent login.

Read-only.

Date and time of last login are based on locale. Locale is configured in the Personal Information tile of the General tab.

Last Invited On

Date and time when the employee was last sent a mobile invite.

Read-only.

Registration Attempts

Number of times the employee has attempted to register.

If the employee has 10 failed registration attempts, the employee will be locked out until a new invite is sent.

Read-only.

Status

Shows whether the employee is Active or Inactive. An employee that is currently employed and registered in the Mobile App will have an Active status.

Read-only.

Promotion Status Denotes whether the employee is a Mobile Manager.

Read-only.

Registered

Date the employee successfully registered in the Unifocus Mobile App.

Read-only.

Registration Expiration Date

Date after which the employee will not be able to register from the invite. If the employee does not register by this date, use the Re-invite button to send a new mobile invite to the employee.
